Opening and editing your files.
Every editable file works in Microsoft Office, Google Docs and Sheets, and the free phone apps. Pick your file type and device below.
Word CVs, letters and plans .docx
Microsoft Word (computer)
- Unzip the CV pack first: right-click the ZIP and choose “Extract all” (Windows) or double-click it (Mac).
- Open the .docx. If a yellow “Protected view” bar appears, click “Enable editing”.
- Replace the grey example text. Keep the headings as they are — they help screening software read your CV.
- Save a copy with your name, e.g. Thandi-Mokoena-CV.docx, then File → Save as → PDF to send.
Google Docs (any browser)
- Go to drive.google.com → New → File upload, and choose the .docx.
- Open it, then File → Save as Google Docs to edit (or edit directly in Word-compatible mode).
- Check spacing on page 1 — Google sometimes swaps fonts and pushes lines to a second page. Reduce a long bullet if needed.
- File → Download → PDF document for applying, or Microsoft Word if an employer asks for .docx.
Phone (Android or iPhone)
- Install the free Microsoft Word app (or Google Docs). Phone “file viewers” usually only preview, they can’t edit properly.
- Download the file, tap it, and choose “Open with Word” or “Open with Docs”. On iPhone, ZIP files open in the Files app — tap the ZIP to unpack.
- Edit in portrait, then check the layout in “Print layout” view before sending.
- Share → Send a copy → PDF to email or upload.
Freelancer invoices .xlsx
Microsoft Excel (computer)
- Open the .xlsx and click “Enable editing” if asked.
- Fill in your details, client, items and rates. Totals and VAT (VAT version only) calculate automatically — don’t type over the formula cells.
- File → Save as → PDF before sending the invoice.
Google Sheets
- Upload to Google Drive, open with Google Sheets.
- Formulas carry over. Check the currency cells still show R.
- File → Download → PDF.
Phone
- Use the free Microsoft Excel or Google Sheets app.
- Pinch-zoom to edit cells; turn the phone sideways for the item table.
- Share as PDF.

Any device
- These are for reading and printing, not editing. Open in any browser, Adobe Acrobat Reader, or your phone’s Files app.
- Copy the email scripts into your own email and replace the [brackets].

Common problems
- The fonts look different
- Your device is replacing a font it doesn’t have. That is fine for employers. If a line now wraps badly, shorten it slightly.
- My CV jumped to two pages
- Usually caused by Google Docs or phone conversion. Reduce a bullet, or set margins back to 2 cm (File → Page setup).
- I can’t type in the file
- You are in a viewer or Protected view. Click “Enable editing”, or open with the Word / Docs app.
- The ZIP won’t open on my phone
- Android: use the Files by Google app and tap “Extract”. iPhone: tap the ZIP in the Files app.
- Should I send Word or PDF?
- PDF keeps your layout. Send .docx only when the advert or recruiter asks for Word.
