How to fill in the Z83 form correctly.
The Z83 is the application form for South African public service jobs. This guide goes through each section in plain language so your application isn’t rejected for a small mistake.
Before you start
- Find the vacancy in the weekly DPSA Public Service Vacancy Circular or on the department’s website.
- Download the current Z83 from an official source (see Official resources). We link to the form; we don’t host or sell it.
- Read the advert carefully for the closing date, the submission method and the documents it asks for.
Part A — The post
- Copy the post name exactly as it appears in the advert.
- Add the reference number. A missing reference number is one of the top rejection reasons.
- Name the department and say when you could start if appointed (your notice period).
Part B — Personal details
- Use your full names and surname exactly as on your ID.
- Give your ID or passport number and answer the citizenship and permanent-residence questions honestly.
- Answer the questions about previous dismissals or pending cases truthfully — false answers can lead to dismissal later.
Part C — Contact details
- Use a phone number you answer and an email you check every day.
- Choose your preferred language for correspondence.
Part D — Qualifications
- List your highest qualifications first, with institution and year obtained.
- Include only qualifications you can prove with a certificate when shortlisted.
- Mention professional registrations if the post requires them.
Part E — Work experience
- Start with your current or most recent job.
- You may write “See attached CV” only if the advert allows it. Many applicants still fill this in to be safe.
- Give the reason for leaving each job briefly and honestly.
Part F — Declaration
- Read the declaration and sign and date the form.
- An unsigned Z83 is usually rejected straight away.
Mistakes that get Z83 forms rejected
- Using the old (pre-2021) Z83 version
- Not signing the form
- Leaving out the post reference number
- Using one Z83 for several posts
- Applying after the closing date
- Sending to the wrong email or address
- Attaching documents the advert didn’t ask for and making the file too large

- Download the current Z83 from the DPSA website or the department advertising the post. We link to it on our Official resources page. Never pay anyone for the form — it is free.
- Do I still need to attach certified copies?
- Under the new Z83 most departments ask for only the Z83 and a detailed CV at first, and request certified copies if you are shortlisted. Always follow the instructions in the specific advert, because some posts still ask for documents upfront.
- Why do Z83 forms get rejected?
- The most common reasons are an unsigned form, missing post reference number, using the old Z83 version, blank required fields, and applying after the closing date.
- Can I fill in the Z83 electronically?
- Yes, the form can be typed. Make sure you sign it (a handwritten or accepted electronic signature) and follow the submission method the advert gives — email, online portal or hand delivery.
- Do I need a separate Z83 for each post?
- Yes. Complete a new Z83 for every post, with that post’s exact name and reference number.
